Sole Trader Phone Answering in Australia in 2026 — Never Miss Another Job While You're On the Job
Sole traders structurally lose 40-70% of inbound calls — you're on the tools, in client meetings, in transit, or sleeping. Voicemail catches only the patient minority; most callers hit your competitor next. Steve, our AI voice receptionist, answers every call (your mobile + business line), books jobs, qualifies leads, escalates emergencies — at $297/month flat. Cheaper than a single missed job.
How does a sole trader answer every call?
Four options:
- AI receptionist for sole traders — Steve answers when you can't. Books jobs, qualifies leads, sends you SMS only for emergencies. $297/month flat. Pays for itself with one captured job per quarter for most trades.
- Hire a part-time receptionist — $25K-$35K/year for someone you may not even need full-time. Plus super, leave, payroll.
- Outsourced answering service (human) — $200-$500/month for message-taking only. No booking power.
- Voicemail — costs nothing, loses 60-80% of callers.
For most Australian sole traders, AI receptionist is the obvious right answer. Most sole traders are missing $20K-$80K+ per year in unbooked jobs.
A Real Aussie Story — Mike, Penrith Plumber
Mike runs a one-van plumbing business out of Penrith. Twenty years in the trade, built up a solid customer base through word-of-mouth and a basic website. His phone is also his business phone — when he's under a sink with two hands on a wrench, the phone goes to voicemail. When he's driving to the next job, he can't safely answer hands-free in heavy traffic.
A two-week audit Mike ran in 2025:
- Average calls per day: 14
- Calls he answered: 5-7
- Calls to voicemail: 7-9
- Voicemails left: 3-4 (most callers don't bother leaving messages)
- Callbacks where customer hadn't engaged competitor yet: 2-3
Across the two weeks: ~100 calls missed, ~40 voicemails left, ~30 successful callbacks. That's roughly 70 lost job enquiries in 14 days. Mike's average job value is $440. Even if 30% of those would have been bookable: ~21 jobs × $440 = $9,240 in lost revenue over 2 weeks. Annualised: $240,000+.
He'd been telling himself “if they want me they'll leave a message” for years. The audit destroyed that assumption.
He signed up for AAA. First week with Steve: 76 calls received, 71 handled directly by Steve (jobs booked in ServiceM8, calls qualified, quotes given per Mike's price list), 5 emergency callouts SMSd to Mike's mobile (he handled each within 20 minutes). Hang-up rate: 0%. Revenue captured that week that would otherwise have been lost: estimated $4,500-$6,000.
Annual return on $3,564 AAA cost: 30x-50x. Mike's only regret was not signing up five years earlier.

Caller: “G'day, looking for someone to install a new dishwasher this week if possible?”
Steve: “G'day, thanks for calling [Plumbing Business Name] — this is Steve, happy to help. Where are you based?”
Caller: “Glenmore Park, mate.”
Steve: “Glenmore Park, we cover that area. Have you got the new dishwasher already, or are you buying it as part of the job?”
Caller: “Already got it, just sitting in the kitchen.”
Steve: “Good. Is there existing plumbing for a dishwasher — meaning is it replacing an old dishwasher in the same spot?”
Caller: “Yeah, replacing the old one.”
Steve: “Right, standard replacement job — should be about 90 minutes' work. Our rate's $145/hour plus any parts. Typical replacement is $220-$280 all up. We've got availability Thursday morning or Friday afternoon. Which works for you?”
Caller: “Thursday morning would be great.”
Steve: “Booking you in Thursday 8:30am. Best mobile to text you the night before?”
Caller: “0411 234 567, my name's Dave Park.”
Steve: “Sorted Dave. You'll get a confirmation SMS now and a reminder Wednesday night.”
Within 5 seconds Mike receives email + SMS: “NEW JOB BOOKED — Dave Park, 0411 234 567, Glenmore Park, dishwasher replacement, existing plumbing, Thursday 8:30am, quoted $220-$280. ServiceM8 job created.”
Why sole traders structurally miss calls
On-the-tools work. Plumbing, electrical, carpentry, mechanical — sole trade work is hands-on. You can't physically answer during the actual work.
Driving between jobs. Hands-free is technically legal but stressful for in-depth conversations. Most sole traders let calls go to voicemail in transit.
Client meetings. Mortgage brokers, accountants, financial planners, lawyers — sole-trader professionals are in client meetings where interruption is unprofessional.
Lunch / breaks / family time. Sole traders deserve breaks but can't afford to lose business while taking them.
Sleeping / weekends. After-hours calls are common — especially for emergency tradies. Sole traders need rest.
Concurrent calls. When you ARE on a call, the next caller hits voicemail. There's no second phone line.
Phone anxiety / decision fatigue. End-of-day sole traders are sometimes too cooked to answer one more enquiry well. Quality of answered call drops as the day goes on.
Result: average sole trader misses 40-70% of inbound calls. Annual lost revenue: $30K-$150K+ depending on industry and average job value.
What Steve does for sole traders
Answer every call. While you're under a sink, in a client meeting, driving, sleeping, on holiday — Steve picks up within 2-3 rings.
Qualify the job. Job type, address, urgency, customer expectations — captured properly the first time.
Quote per your price list. Steve quotes confidently per the price list you provide during onboarding. No “I'll call you back with a price” callbacks.
Book directly into your system. ServiceM8, Tradify, Google Calendar, your CRM — booking made on the spot.
SMS you only for emergencies. Configurable. You decide what's worth interrupting your work for (e.g. “burst pipe, customer needs response today” → SMS to mobile; “want quote for renovation next month” → handled silently, queued in portal).
Handle existing-customer calls. Look up customer history in ServiceM8 or your CRM, reference current jobs, capture follow-up requirements.
Capture leads for callback. When a complex call needs your direct involvement (large quote, technical question, relationship call), Steve captures everything you need for an efficient callback.
Reduce admin time. Steve handles routine “are you open?”, “what suburbs do you cover?”, “what's your rate?” calls — freeing you from interruptions while you work.
Operate 24/7. Saturday emergencies, Sunday quote requests, public holiday callouts — all handled.
Multi-trade support. Sole tradies doing multiple trades (plumbing + gas, carpentry + handyman, mechanical + auto-electrical) configure multi-service intake.
How it works with your mobile
No new phone number needed. Steve picks up from forwarding rules on your existing mobile.
Configurable forwarding rules:
- Forward all calls → Steve answers everything (use when on big jobs)
- Forward on no-answer (3-4 rings) → you answer when you can, Steve catches what you can't
- Forward when busy → second concurrent caller goes to Steve, no voicemail
- Time-based forwarding → after 6pm or before 7am goes to Steve
- Day-based forwarding → all Saturday/Sunday calls go to Steve
Major carriers supported. Telstra, Optus, Vodafone — all support forwarding rules at no extra cost.
Setup help included. AAA onboarding walks you through carrier-specific setup. Most sole traders are forwarding correctly within 30 minutes.
Australian data sovereignty: Privacy Act 1988 (Cth) compliant, hosted on AWS Sydney. Your call data and customer records stay onshore.
Pricing for sole traders
Most sole traders use Essential ($297/month) — that's the right plan for one-person businesses.
| Plan | Monthly | Annual | Best For |
|---|---|---|---|
| Essential | $297 | $3,564 | Sole traders, one-person businesses, single-mobile setup |
| Complete | $497 | $5,964 | Sole trader with website chatbot |
| Enterprise | $990 | $11,880 | Multi-trade sole trader with complex routing or 2-3 person businesses |
ROI for a typical sole trade tradie
- Average job value: $440
- Conservative additional captured jobs/month: 10
- Additional monthly revenue: $4,400
- AAA Essential monthly cost: $297
- Net monthly benefit: $4,103
- Annual net benefit: $49,000+
For sole-trade professionals (mortgage brokers, accountants, financial planners), the maths is even better — single captured deals are often worth $2,000-$15,000+ in fees.
Honest limitations
Sole traders doing <5 inbound calls/week — economics still positive but ROI more modest.
Sole traders whose existing client base doesn't generate phone enquiries (e.g. corporate consultants with email-only client engagement) — value is lower.
Sole traders intentionally limiting workload for lifestyle reasons — if you don't want more work, you don't need AAA.
For everyone else — tradies, brokers, single-practice professionals, mobile mechanics, mobile groomers, cleaners, photographers, fitness coaches, consultants — Steve is the highest-ROI investment most sole traders will make.
