Getting the Most From Your AI Receptionist
Installing an AI receptionist is a smart move, but how you configure it makes all the difference between a good investment and a great one. These six tips will help you maximise the number of callers who become paying customers.
1. Nail Your Greeting
First impressions matter, and your AI greeting is the very first thing callers hear. Keep it warm, professional, and concise. State your business name, let the caller know they have reached the right place, and invite them to share what they need.
Avoid long-winded introductions or overly formal scripts. A greeting that runs longer than ten seconds risks losing the caller's attention. Something like: "Thanks for calling [Business Name], your local [service]. How can I help you today?" sets the right tone without wasting anyone's time.
Test your greeting with a few friends or colleagues before going live. Ask them whether it felt natural and whether they immediately understood who they were speaking with.
2. Anticipate Your Most Common FAQs
Review your recent call history and identify the ten to fifteen questions that come up most frequently. Typical examples include pricing, business hours, service areas, booking availability, and what to bring to an appointment.
Program clear, helpful answers for each of these. The goal is to give the caller enough information to move forward without needing to speak to a human. If your AI can answer their question on the spot, they are far more likely to book or take the next step right then and there.
Update your FAQ responses regularly. If you notice the same new question appearing across multiple calls, add it to the list straight away.
3. Set Clear Escalation Rules
Not every call should be handled entirely by AI. Define specific triggers that route a call to a real person. These might include emergency situations, existing clients requesting a callback from their account manager, or callers expressing frustration or confusion.
Clear escalation rules ensure that complex or sensitive calls reach the right person quickly, while routine enquiries continue to be handled automatically. This protects your customer experience while keeping your team focused on the interactions that require their expertise.
4. Capture the Right Details
Configure your AI to collect the information your team actually needs to follow up effectively. At minimum, this usually means the caller's name, phone number, and reason for calling. Depending on your industry, you might also want their email address, preferred appointment time, or specific service they are interested in.
Avoid asking for too much information in a single call. Every additional question increases the chance the caller will lose patience and hang up. Focus on the essentials and let your team gather additional details during the follow-up.
5. Test Thoroughly Before Going Live
Before you direct your main business line to the AI receptionist, run a series of test calls covering every scenario you can think of. Call as a new customer, an existing client, someone asking an unusual question, and someone who wants to speak to a human immediately.
Listen to how the AI handles each situation. Does it sound natural? Does it capture the right information? Does it escalate appropriately? Make adjustments based on what you hear and test again until you are satisfied.
Involve your team in the testing process. They know your customers best and will spot issues that might not be obvious from the outside.
6. Review, Measure, and Optimise
Once your AI receptionist is live, review call logs and performance data at least weekly for the first month, then monthly after that. Pay attention to metrics like answer rate, average call duration, lead capture rate, and escalation frequency.
Look for patterns. If many callers are asking a question your AI cannot answer, add it to the FAQ list. If callers frequently hang up at a particular point in the conversation, examine the flow and simplify it. Continuous improvement is what separates businesses that see modest results from those that see outstanding ones.
